Booking Terms & Conditions

Booking


When you decide on your date & requirements, we can make a provisional booking for you. This booking will be held for a period of 14 days, however should another party become interested in the same date during that period, we will contact you.  Should we not hear from you, the provisional booking will be released after 14 days without further notice.


Deposit


To confirm your booking, we require:

  • non-refundable deposit of £1,000
  • written confirmation
  • signed copy of the terms & conditions

On receipt of the above, we will confirm the details of your booking in writing

Minimum Numbers?

Exclusive Venue Hire

Lumby Hall will charge £1,750 for the exclusive use of their grounds & gardens. This includes 2 days prior to event for set up and deliveries and 1 day after event for dismantling and clean up.

This amount will be added to your total balance and must be paid prior to the day of the event.

Payment

50% of the outstanding balance is to be paid upon receipt of your pro-forma, approximately 4 months prior to the wedding. If you fail to make this payment, we will assume that you wish to cancel your booking and we can attempt to re-sell the date for which your wedding was booked. Any deposit paid will not be refunded.

Full payment will then be due 4 weeks prior to the wedding.

Catering

Our chosen supplier is ‘Dine’ ,

We do not allow other caterers to provide any part of the main wedding breakfast, within the grounds (except wedding cakes). We can of course discuss requirements for evening food suppliers, food vans etc.

Cancellation / Postponement

In the unfortunate event that you may have to cancel or postpone your wedding, 6 months notice is required, otherwise the following cancellation charges will apply. Please note that in the event of full cancellation, we reserve the right to retain the deposit already paid, plus the following charges –

More than 12 months notice £300 Administration Charge

9-12 months notice £25% of minimum contract price*

6-9 months notice 50% of minimum contract price*

6-3 months notice 75% of minimum contract price*

Less than 3 months notice Full Contract Price

The above charges must be paid within 14 days of the cancellation

*Minimum Contract Prices equates to the numbers given on the booking form for catering & marquee hire

Cancellation by Lumby Hall

If due to circumstances beyond our control, Lumby Hall becomes unavailable for your event, then we endeavour to find you an alternative venue. If we are unable to do this, a full refund of all monies already paid will be refunded

Fireworks

Please note fireworks & outdoor laser shows are not permitted within the grounds of Lumby Hall

Damage & Loss

Whilst you and your guests are using the facilities within Lumby Hall, we ask that you take every effort to safeguard the fixtures & fittings within the grounds. Any damage caused shall be restored by Lumby Hall and the costs incurred will be charged in full to the person(s) in whose name the booking is made.

Please also be aware that as Lumby Hall is situated within a small hamlet, guests are required to be mindful of excess noise and unacceptable behaviour during the event , and upon leaving the property.

Lumby Hall cannot accept liability for loss or damage to you or your guests property, unless the loss or damage is due to negligence, wilful act or default of us or our employees.

The client will be responsible for any damage caused by subcontractors which they have independently brought into Lumby Hall and shall pay for damage or loss of business caused as a result.

At the absolute discretion of Lumby Hall, any function may be cancelled, even if paid in full, if Lumby Hall has reasonable grounds for believing that the holding of such function would prejudice the reputation, good name or standing of Lumby Hall.

General

The bride & groom, and other persons contributing to the cost of the wedding, will be jointly liable under this contract

We recommend that wedding insurance is purchased.

Last drinks to be served at 11.30pm, with drinks & music to be finished by midnight.

No food, alcohol or beverages may be brought onto the grounds of Lumby Hall by the client, or guests, for consumption on the premises, unless pre-agreed.

Prior consent must be sought for any entertainment or service contracted for the function by the client. Lumby Hall reserves the right to judge acceptable levels of noise or behaviour of the clients, guests or representatives and the client must take all the necessary actions to correct. In the event of a failure to comply with Lumby Hall requests, we reserve the right to terminate the contract and stop the event, without being liable for any refund or compensation.

If Lumby Hall is unable to host the event or provide a service that has been booked by the client due to circumstances byond their control, such as government intervention, acts of god, civil disturbance, local or national disaster, then the liability of Lumby Hall to the client shall not exceed the amount paid by the client to Lumby Hall in respect of that particular event.

Any external suppliers will not be permitted to work at Lumby Hall without the nececcesary public liability insurance. We ask that you obtain a copy.

These terms & conditions can be amended at any time and in such circumstances, notification will be given in writing within 28 days of the changes.

Confirmation of your menu

Allergies

In the case of allergies we do not guarantee that any item will be free of any specified allergens. Dine and its associated operating companies will never offer an undertaking that anything served will be free of any allergen.

If a guest has an allergy to any particular food, it is the responsibility of the guest to ensure he/she does not consume any dish containing that ingredient. We cannot take responsibility for special dietary requirements unless advised in advance in writing.

Pricing

It is our aim to be very clear & straightforward regarding pricing to make it that much easier for you when planning your day within a budget, therefore –

Prices herein include VAT @ 20%

Menu packages include all table linen, napkins, crockery, china, glassware, easel for table plans, cake knife, table number stands & service

The packages all include the facility of a licensed bar
